What does conference transport in Riyadh involve?
Riyadh conference transport has to move three groups of people: delegates who arrive over several days, speakers and VIPs who need a car on their own schedule, and the staff who set up and run the event. Each group needs a different vehicle and a different plan, but all of it can sit on one booking and one invoice.
Riyadh hosts large international events such as the LEAP technology conference, usually held early in the year, and the Future Investment Initiative, usually in October. Dates, venues and security arrangements are set by each organiser, so take them from the official event information and share them with us.
Meeting delegates at King Khalid Airport
King Khalid International Airport (RUH) is about 35 km north of Olaya, roughly 40 min by car, and peak traffic on King Fahd Road can add 20 minutes. Terminals 1 and 2 handle international flights, Terminals 3 and 4 handle Saudia and flynas domestic flights, and Terminal 5 handles other domestic flights. Our Riyadh Airport terminals guide explains the layout.
Each driver waits in the arrivals hall after baggage claim and sends a live pin on WhatsApp. Flights are tracked, and the driver waits free for 60 minutes after landing. For a delegate list, we need:
- Each delegate's name, flight number and arrival date.
- The hotel for each delegate.
- Who can share a van when several delegates land on the same flight.
- A phone contact on your team for late changes.
Vehicles and rates for delegates and VIPs
Fares are fixed per vehicle and include fuel, the driver and meet-and-greet. Hourly bookings have a 3-hour minimum. Rides between 00:00 and 05:00 carry a 20% night surcharge, shown in the quote.
| Vehicle | Seats | Typical use | Per hour | Airport to central Riyadh |
|---|---|---|---|---|
| Standard sedan | 1 to 3 | Individual delegates | SAR 95 | SAR 70 |
| Luxury / VIP | 1 to 4 | Speakers and senior guests | SAR 400 | SAR 350 |
| SUV | 4 to 7 | Small delegations | SAR 180 | SAR 140 |
| Family van | 7 to 11 | Teams on the same flight | SAR 150 | SAR 120 |
| Group bus / Coaster | 12 to 50 | Hotel-to-venue shuttles | SAR 350 | SAR 400 |
How do hotel-to-venue shuttles work?
When delegates stay in several hotels, a shuttle runs on the timetable you set: morning runs that reach the venue before the first session, and evening runs back after the last session or the dinner. Our coaches range from the 22-seat Toyota Coaster to 50-seat coaches, with a luggage hold, a microphone and screens. For large events we can run on-site dispatch, so one person manages the cars on the day.
Some venues are outside central Riyadh, so plan daily transfers rather than expecting delegates to find their own way. At high-security events, security zones can change the drop-off points. Send us any vehicle passes or official drop-off instructions, and we confirm the arrangements with the drivers the day before.
VIP cars for speakers and senior guests
Speakers and senior guests usually need a car that waits for them, not a seat on a shuttle. Our Luxury / VIP class includes the Mercedes S-Class, BMW 7 Series, Lexus LX 600 and Cadillac Escalade, with a suited chauffeur, the latest model year, Wi-Fi and refreshments. Airport fast-track assistance is available on request.
For official visits, we provide convoy-ready vehicles, vetted drivers and a single point of contact. Licensed female drivers are also available in Riyadh in Standard and Comfort vehicles, booked 12 hours ahead.
Planning checklist for event organisers
- Delegate numbers per day and per hotel.
- Arrival and departure flight lists.
- Session start and end times, plus any evening dinner or reception.
- The venue address, the drop-off gate and any vehicle passes.
- The names of speakers and VIPs who need a dedicated car.
- An on-site contact for the dispatcher.
- Your company name and VAT number for the invoice.
Billing and changes
A corporate account gives you one monthly invoice with VAT, trip reports per cost centre, a dedicated dispatcher and priority vehicles in peak season. Cancellation is free up to 24 hours before each pickup, and changes to time or vehicle are free whenever possible.
If your team comes back to Riyadh often, a standing arrangement may suit you better than event-by-event bookings. Our guide to hiring a monthly chauffeur in Riyadh explains how that works.
Free evenings: Diriyah and Riyadh Season
For a free evening, Diriyah is 20 km from Riyadh, about 25 min, from SAR 70 in a standard sedan, and evening traffic to Bujairi Terrace is heavy, so book the return in advance. From about October to March, Riyadh Season adds heavy evening traffic around Boulevard City, so allow extra time for any evening programme in that period.
